AI Receptionist + Open Dental: What Integration Should Actually Do
"Integrates with Open Dental" can mean anything from reading a few fields to completing real scheduling workflows. Here is how to tell the difference.

What does Open Dental integration actually mean?
It describes a connection between an AI receptionist and Open Dental — but the depth varies widely: what data can be read, which workflows can be completed, which system stays authoritative, how scheduling context is used, what happens on failure and how quickly changes sync.
Open Dental's official API supports operations around appointments and exposes resources for patients, operatories, schedules and other practice data. Availability and slot operations can involve providers and operatories. That makes deep integration possible, but it does not mean any given vendor uses all of it — what matters is what the product actually does.
Reading data vs. completing workflows
Reading data lets an AI receptionist answer questions with accurate information. Completing workflows means it can take an action — like booking an appointment — that lands in the practice system.
Many integrations are read-only, or read broadly but write narrowly. Ask which records the system can create or change, and which it only looks up.
Scheduling against real practice availability
Offering times a practice can actually honor depends on providers, operatories and schedules — not just empty space on a calendar.
An AI receptionist that ignores those constraints will offer slots staff later have to undo. Check whether the product schedules against the practice's real configuration.
Patient and appointment synchronization
For supported workflows, patient and appointment changes need to flow in both directions: changes made in the practice system should reach the AI, and bookings made by the AI should reach the practice system.
Providers and operatories
These usually belong to the practice system. A sensible integration reads them from Open Dental rather than maintaining a separate, drifting copy.
Why source-of-truth behavior matters
When two systems can both hold the same data, one has to win. For a practice running Open Dental, that should generally be Open Dental.
Ask what happens when the two disagree, which fields can be edited in the AI product, and whether edits there can silently overwrite practice records.
What happens if Open Dental is unavailable?
A trustworthy system does not pretend an action succeeded when the practice system could not confirm it.
Ask vendors how they behave during an outage: whether bookings are declined, held as requests, or retried, and what the patient is told.
Continuous sync vs. synchronous operations
Some actions happen synchronously — the practice system is updated during the call. Other data is kept aligned by background synchronization, which introduces a short delay.
Be wary of blanket "real-time" claims. Ask which operations are immediate and how long background changes typically take to arrive.
Permissions and security considerations
An integration handles patient information, so access controls, data handling and safeguards matter.
Ask what credentials the integration needs, who can see what, how activity is recorded, and whether the vendor offers a Business Associate Agreement. A BAA is one part of a practice's responsibilities, not a guarantee of compliance on its own.
Questions to ask an AI receptionist vendor
- Which data do you read from Open Dental, and which do you write?
- Which system is the source of truth, and can your product override it?
- Do you schedule against real providers, operatories and schedules?
- What happens to a booking if Open Dental is unreachable?
- How long do changes typically take to sync, in each direction?
- Are insurance or eligibility results written back, or kept separately?
